Peninsula Tramping Club – Trip Planning Principles
Leading a trip is one way that members can meet their membership expectation of contributing to the operation of the club.
Trip suggestions should be made to the Trips committee or trips planner at least a month before the planned trip to allow its inclusion in the club newsletter.
An estimate of the trips’ grading should be made taking into account aspects such as length of each tramping day, the terrain to be covered, potential hazards. The grades are Easy, Easy – moderate, Moderate, Moderate – Hard, Hard. The Trip planner can advise further on this.
Although the club would like to offer at least one trip every weekend, trip offers on other days of the week will be accepted.
Trips proposed should not compete directly against another trip offered on the same day where the potential participants are from the same group of members. It is however acceptable to offer a day trip at the same time as an overnight trip or an “easy” trip at the same time as a “Hard” trip as these are appealing to a different club audience. It is permissible to have day trips of a similar grade on consecutive days if both leaders are agreeable to this.
An estimate of the likely cost of the trip will be advertised including the cost per vehicle used for shared transport. This transport cost is based on the KMs from the meeting place to the trip designation and return at the current club agreed rate. The cost is divided evenly amongst everyone in the vehicle including the driver.
Each trip will have a defined minimum / maximum number of places available set by the leader. Generally, this is based on safety, ability to make the best economical use of vehicles and potential places available at any destination hut.
Club members are expected to notify the leader of their interest in the trip by the advertised closing date. Usually, the day before for day trips or the Sunday before for overnight trips. (This may be extended where hut bookings are required). The leader may hold the ”No / Go decision” open to nearer the date for over night trips to allow for a clearer picture of the weather conditions in the trip area. Once the trip close date is reached members are expected to be committed to the trip unless there are exceptional circumstances. This is because late withdrawals can undermine the viability of trip proceeding and is unfair on other members.
For day trips requiring shared transport, the club has set meeting places located at strategic locations around the city depending on the direction of travel intended. These should be used unless agreed mutually with the participants for that particular trip. For overnight trips it may be more convenient to meet at the residence of one of the participants so that parking is more secure.
